Open invoices

Open invoices are invoices for which you are awaiting payment.

Payment

Payments allocation

To link a payment that has been synchronized with the bank, you need to:

  1. Click Allocate payment.

  2. Select the payment you want to link.

  3. Click Link.

Runple automatically allocates payments when synchronizing with the bank. Learn more about allocation here.

Book payment manually

You can also book the payment manually.

1. Click the arrow on the Allocate payment button.

2. Click Book payment

3. Specify the booking date.

All other information is automatically taken from the outgoing invoice.

4. Click Book

Once the invoice has been paid in full, it will be marked as paid.

Mark invoice as paid

If the invoice hasn't been paid in full, you can mark it as paid

This option is available once at least one payment has been linked to the invoice.

To do this, you need to:

  1. Click the dropdown on the Allocate payment button.

  2. Select Mark as paid.

  3. Choose how to allocate the unpaid amount.

  4. Click Continue.

You can also automate the force completion in the accounting settings.

Edit

You can edit the open outgoing invoice at any time.

Click Edit to edit the invoice.

Actions with open invoices

Click More Actions to view the list of actions you can do with the open outgoing invoice.

Create credit note

1. Open an outgoing invoice.

2. Click More actions

3. Click Create credit note.

You can create a credit note for a specific position or for the full invoice amount. A credit note created for an open invoice doesn't require payment, and its amount will be deducted from the invoice amount. This will decrease the open amount of the invoice.

If you create a credit note for the full invoice amount, the invoice will be canceled by a credit note.

Cancel

Click Cancel to cancel your invoice.

You cannot cancel an invoice with linked payments. To cancel an invoice, unlink or cancel payments.

Click Link to link the outgoing invoice to the sales order.

This option is available if you use the Inventory management module.

Clone

Click Clone to create a new invoice with the same information and positions.

Save as a template

Click Save as template to save an outgoing invoice as a template.
